This guide walks you through importing data into Custom/Analysis Fields. If you have not set up your custom fields yet, please complete this step first: Custom Fields - Set up an analysis field

Importing custom fields in the Employee Profile
- To import data into custom fields, in the employee record go to Employees -> Bulk Import -> +New import. Please find the import templates at the end of this article
To create a new employee import job you need to select:
- Your reference (optional) - A name for the import that will appear in the import list
- New employee behaviour - Select Ignore these records (you are only updating custom fields for existing employees)
- Existing employee behaviour - Select Update system values
In this example, the header for Location would be AN_Location, and the header for Job Title would be AN_Job Title.
You can find your own custom field headers in Company Setup -> Custom Fields.
The CSV Header column shows the exact names you must use in your import file.
Please see the example import file for the Location and Job Title custom fields.
You can import multiple custom fields at once. You can import multiple custom fields in a single file. However, please note that any blank values included in the import will overwrite existing values on the employee record.
| Note: Column B must retain the Analysis header, but all rows beneath it should be left blank. |
If there are any issues with the file or its data, you’ll be able to download an error file. We recommend reviewing both the error file and the log file.
You can see the imported data in the Analysis fields section on the employee's record > Pay tab.
Importing custom fields in the pay run
| Field / Header | Example | Notes |
| Pay ID / Employee Code | P1 / EC1 | Can be Employee Code or RTI Payroll ID |
| Cost Code | CCA | Optional cost code to use in reports |
| Type | hours | The ID of the Pay Element you have in the Company Setup |
| Description | Hours | The name/ description for this payment that will be visible on the employee's payslip. If empty, a sensible default will be used. |
| Quantity | 37.5 | for example the number of days / hours to multiply the rate |
| Amount | 12.71 | Payment rate, e.g. 12.71. The total amount paid will be quantity * amount. |
| Reference | R1 | Optional unique reference for this import. |
| AN_XXX (example AN_Location) |
Reading | The heading should be "AN_" followed immediately after by the name of your custom field |
To import data into custom fields on payments you will need to do this from the pay run. You can find more guidance on importing payments here: Payment Import File.
To import custom fields, include additional columns at the end of the import, again with "AN_Custom Field Name" as the heading. You will then be able to import any number of custom fields alongside the hours or pay you're importing.
