Step-by-step guide
This guide will show you how to schedule, edit and delete a scheduled report.

Overview
After running a report there is an option to schedule the report to be sent out to designated recipients at specified points in the future.
Scheduled reports are accessed through Reports > Scheduled Reports.
A report can be emailed to any recipient (regardless of whether they are a user on the site), and the frequency and date the report is run can be specified.
Reports can only be scheduled after they have been created. Report schedules should be created with an end date and the report option to zip and password protect the report should be selected due to ensure compliance with Data Protection policies.
Schedule a report
- Select Reports > Reports to open the Reports page
- Select the relevant report from the Report Type dropdown menu
- Select the relevant filters to refine your report. For further information see the Run a report Help Guide
- Select the Schedule button to open the Schedule report page
- Type in the name of the report in the Report name field and add a description if required in the Report Description field. The Report Type and Author fields are pre-populated

Frequency: Select daily, weekly or monthly in the Frequency dropdown menu to define how often the report is sent

Report Date Range: Select the date range for which the report should return data

Options: Select the Run this schedule for the first time immediately radio button if the scheduled report needs to run immediately. Or select the Schedule first run radio button and use the date picker to set the first scheduled report start date

Destination: Enter the email address to specify who should receive the scheduled report and select the (default) scheduled_report option in the Email Template dropdown. Select whether the report should have attached as an Excel or a password protected zip (recommended - selecting this checkbox enables the password field)
The Add report to email content option should not be selected
- Identify the Start Date and Start Hour. Select the Run forever radio button (to specify no end date) or select the Run until radio button and using the date picker to set the scheduled report end date
- Select the Save button to confirm the changes or select the Cancel button to cancel the changes
Edit a scheduled report
- Select Reports > Scheduled Reports
- A list of all scheduled reports will appear. Alternatively, the responses can be filtered using the Search fields (Name, Author, Frequency or Recipient)
The scheduled reports are listed in alphabetical order. This list includes all the report schedules that exist within the site (and have not been deleted), regardless of whether they are currently active or not
- Select the Edit button for the report you want to amend
- This opens the Scheduled Report screen where the changes can be made to the report
See above for details of the information contained within each field - Select the Save button to confirm the changes or select the Cancel button to cancel the changes
After selecting the Save button, the Processing complete message will appear. Select Close to return to the Report Schedules page
Delete a scheduled report
- Select Reports > Scheduled Reports
- A list of all scheduled reports will appear. Alternatively, the responses can be filtered using the Search fields (Name, Author, Frequency or Recipient)
- The scheduled reports are listed in alphabetical order. This list includes all the report schedules that exist within the site (and have not been deleted), regardless of whether they are currently active or not
- Select the Delete (dustbin) button to delete the scheduled report
