This guide explains how to add useful external links to your HR menu, such as your benefits and pension portals, SharePoint sites, or email addresses to make it easy for your users to contact support teams.

Introduction
External links can take your users to other sites or generate a new email to a specific address such as your HR team.
You can categorise your links to organise the menu, which display under the EXTERNAL heading (default name which can be amended via Branding Configuration) in your main menu.

Note: Single Sign On Integrations that have been set up by Ciphr will also show in the External menu, and access is managed in Role Management >Single Sign On. In the pre-2025 (top) menu the SSO applications are accessed via the cloud button. |
The EXTERNAL menu will only show if you have set up links or have any SSO integrations configured. Access to links is global so will be visible to all users when configured.
To view/add external link configuration
- External links are configured in the Sign-in Admin area.
- Click on your profile icon and then Ciphr Sign-in Settings/Admin (licence required)
- Go to the Settings tab and scroll down to External links in navigation
- Click Edit to open the menu, any existing Categories (menu headers) will be displayed
- Click the Links button against a category to expand and view/edit links
Add a Category and link(s)
- Click Add new category and give it a name that will appear as the menu header
- Click Add new Link to add the relevant website or email in the format specified below
- Once one link has been added, you can add more to your category by clicking the + button
- You can remove links by clicking on the bin icon
- Ensure you click Save when you have finished editing
- Refresh the site (may require you to log out and back in) to then check your links in the main menu

Delete a Category/Link
- Go to Sign-in Admin > Settings > External links in navigation > Edit
- Each Category/Link has a bin icon to delete it
- If the Category bin is greyed out then the Links within it must be deleted first
- Click Save to confirm the changes
