This help guide will take you through the Disability code tables.

Introduction
The Disability code tables should be reviewed and updated so that all health declarations can be captured. This will enable you to accurately report and monitor your equality and diversity information.
Note: For consistency and accuracy it is advised that the Disability code tables reflects the definitions that can be found on the government or Office of National Statistics websites. |
Disability code tables
- There are three tables associated with this area: Disability Confirmation, Disability Assessment and Disability Option

Go to the following area:
- Latest menu: Data Management > Code Tables
- Pre 2025 menu: System > System Administration > Code Tables
- From the Group choose People and then select the relevant Disability table
Note: If you can’t see the page or specific code tables, then permission will need to be granted via User Role Management by the appropriate person. |
- The screen will display all the existing codes
- Disability code tables can be entity specific (if you are working with Ciphr HR in a multi entity environment) and can also have associated restrictions limiting who can access the code
Note: The Disability Assessment and Disability Option codes are only available to select on the Personal Details page where a Yes is selected from the Disability Confirmation Table. This is driven by the ‘Show Disability Options’ toggle being enabled on the Yes code. |
To create, edit and delete a Disability code
To create a Disability code
- Click Insert New Record
- Create a description for the entry. The order numbers control how the list will appear in the drop-down menu
- Click Update
To edit a Disability code
- Click on the disability code to be edited and then revise as required
- Click Update
To delete a Disability code
- Click on the disability code to be deleted and then click Delete
Note: If a disability code already holds data for an employee, ie it has been “used”, then it can not be deleted. |
