HR
Step-by step guide
This guide will show you how to create and configure a Review Type, which is the overall template that review forms are attached to, so that the relevant users can complete it in the Employee Dashboard.
Contents
Introduction
Review Types is the area where you will link together the review forms that you have created to the type of review they are associated to, e.g annual appraisal form – employee, annual appraisal form – manager response, annual appraisal form – peer response, linking them to the ‘Appraisal’ review type, to create an overall template for employees to select from the Employee Dashboard.
In this area you will also configure other aspects of talent that you would like incorporated into that type of review: e.g. does the type include the use of the performance and potential or flight risk nine box grids to support your succession planning (subject to whether you have the full Talent Management functionality installed).
Review Types can be entity specific (if you are working with HR in a multi entity environment) and can also have associated Restrictions limiting who can access the review type.
To create Review Types
-
Go to the following area:
• Latest menu: Performance & Development > Performance & Development Configuration > Review Types Configuration
• Pre 2025 menu: System > Talent Management Configuration > Review Types - The screen will display any review types already set up and what options are included
within that type
- Click Insert New Record and configure the Review Type as required:
- Description: The name of the review type eg Probation
- Include Objectives: If enabled will pull through the employees objectives at the end of the review and allow them to rate each objective from 1to 5 of how they have gone. This may be overridden by additional objective options in the Review Form configuration (full module only)
-
Include Job Requirements: If enabled will pull through the job requirements associated to
the employee's role and will ask them to rate themselves against each requirement -
9 Box Ratings: if enabled will ask the manager to rate the employee’s performance and
potential -
Flight Risk Enabled: If enabled will ask the manager to rate the employee’s likeliness to
leave the organisation and the impact it would cause -
Include Review Rating: If enabled will ask the manager to rate the employee based on
criteria from the Review Rating code table - Base Form: Optional if employee/manager are required to answer the exact same questions; they do not apply to peers. Base forms are set up in the same way as all other forms and can be used on multiple review types. Base form sections will always appear at the start of the review workflow if used in addition to employee/manager forms
- Allow Employee Reviews: Attach the employee review form(s) here, eg probation review form – employee
- Allow Manager Reviews: Attach the manager review form(s) here, eg probation review form – manager response, and choose whether this should be visible to the employee Allow Peer Reviews: If applicable attach the peer review form(s) here, eg probation review form – peer response and choose whether this should be visible to the employee and anonymised with the two sliders below
- Restriction: Select any restriction that needs to be applied
- Ceased Date: Allows you to cease a form so it will no longer be available to select from the Employee Dashboard
- Enhanced Security: Enabling this allows you to apply a more granular level of security to review types, by controlling access using User Role Security. When this is turned on there are further steps required to make the review type accessible to each user role (Talent Management Reviews - Enhanced Security)
- Click Update to save your review type template
- If HR is being used with Multi Entity configuration (optional module) capacity then click Multi
Entity on the right hand side of the record in the summary page to configure which entities the Review Type is available to
- Click Update to apply the changes
Note: The options that are available in this screen will vary dependent on which of the sliders are on or off. Allow ad hoc reviews for employee, manager & peer, will provide the option for the user who is creating the review on an employee’s record to add up to five ad hoc questions instead of the relevant reviewer's form. See example below where two ad hoc questions have been added to replace the Employee Form: |
Note: The options highlighted in the below screenshot are only available in full Talent Management.
