How to set up Two Factor Authentication
Two Factor Authentication adds an extra layer of security by requiring not just your password but also a second form of verification when accessing your Ciphr HR account. This extra protection significantly decreases the risk of unauthorised access and system breaches.

If Two Factor authentication is enabled for your user role and on your Ciphr system, you will be presented with a Login box when accessing the system from the first time
- An email containing a one-time verification code will automatically be sent to the contact email address from your Personal Details, which is shown in part on the Login screen
You will need to enter the one-time verification code and click Continue.
This will authenticate the user and grant access to Ciphr.

You will be presented with a box containing up to three options; Mobile App, Email or SMS (if SMS bundles have been purchased as part of your agreement)

Select your preferred method for receiving or generating verification codes. Or choose the method that is in line with any internal security preferences and policies:

- Mobile App – the verification code is sent to a mobile (authentication) app of your organisation’s choice. This is considered the most secure method option

Email – the verification code is sent by email to the email address of the user’s choosing
- SMS – the verification code is sent by SMS (this may incur a cost) to the phone number of the user’s choosing
How to set up Mobile (Authentication) App

Click Mobile App and you will see the screen shown below

From your authentication app, follow the instructions provided to set up a new authentication. Then scan the QR code on the screen to
synchronise with Ciphr and generate your verification code

Enter an email address in the box and click Continue

This will authenticate the user and grant access to Ciphr

Once you have set up Two Factor Authentication, log into Ciphr as normal. You will be prompted to enter a verification code, which can be obtained from the authentication app

Enter the code into the Verification Code box and click Continue

If required, you can click Request Code to email to send a code to your preferred email address
How to change the Authentication App
It is possible to change the authentication method if required. To do this, you need to reset the authentication method.

Once logged into Ciphr, click on the Account Settings ‘cog’ icon on the far right-hand side of the menu bar
- From here, select Change Two Factor Authentication Setup and follow the instructions to set up as per the previous page
