Manage Learning Activities Overview
Manage Learning is accessed through Manage Training > Manage Learning Activities on the Navigation Bar. This opens the Manage Learning Activities page.
Learning activities are the training content and events users access through the site. These include:
• Activities stored in the site and accessed through the site, e.g. e-learning, videos, surveys, assessments, workbooks and on-the-job learning activities.
• Activities which can be scheduled and booked through the site, e.g. classroom activities, webinars,
• Activities which are accessed through the site but are stored elsewhere, e.g. external resources and links to videos.
Users can find learning activities from a number of places in the platform:
• The Learning Library.
• Learning Journeys and Development Plans.
• The Quick Search bar.
Activity Statuses
Progress through learning activities and training plans are managed through their status for each activity. Statuses are also used for reporting purposes. The definition for each status is provided in the following table together with the primary areas in the site where each one is set:

Waiting |
If no current classroom or workshop activity schedules are suitable, a delegate can submit a request for another schedule with a preferred date/location. When learning activities are set-up, as much detail as possible should be added into the relevant fields so that they can easily be found in searches. Further details of the learning activities are the training content available through the site are contained in the following table:

Add an e-learning activity
1. Select Admin > Manage Training > Manage Learning Activities on the Navigation Bar to open the Manage Learning Activities page.
2. Select the Add new activity button.
3. Select the Add an eLearning module icon.
4. There are two ways to add an e-learning activity:
1. Upload a SCORM file (zip file). This will output status and bookmarking data to the site
• Select the Upload button to upload the media. Alternatively, select the Cancel button to return to the media type page.
• Either drag and drop the media file into the ‘Drop files here’ area or select the Add file button to open the file browser to locate the file (find and insert the file in the usual way).
• The loading bar will display progress and illustrate the file size of the media.
• After the file has uploaded, select the Confirm button to add the media to the platform and open the Learning Activity Details page. Alternatively, select the Cancel button to cancel the changes.
2. Add a link (URL) to an externally hosted e-learning activity. This activity will not output status and bookmarking data to the site
• Copy the URL for the e-learning activity into the External Link field.
• Select the Add button to add the link and open the Learning Activity Details page. Alternatively, select the Cancel button to return to the media type page.
The steps to add an activity is to first upload the file and then populate the learning activity details through the Manage Learning Activity page.
You may decide to populate the Manage Learning page before adding the activity file (e.g. if you are setting up a programme and find it easier to do this before then going back and uploading all the activities). In this case, you can select the Skip Button to skip the Add step and move directly to the Manage Learning Activity page. You would then subsequently upload the activity.
5. Complete the details in the Learning Activity Details page. This page has several tabs and needs to be filled out with as much detail as possible. This will make searching for the activity easier and provide meaningful information for the user in the Learning Activity Details page.
There are three mandatory fields in the Details tab that must be completed before the learning activity can be saved:
• Activity Category
• Activity Name
• Activity Code
The tables below define the information required for each field in each tab, and where the information shows within the site pages:

Content tab
The Content tab is contextual to the course type that you are creating or editing. The information below has been provided in the example of an eLearning Content tab. Other course types have fewer functions available but are covered in the table below.
Note: the site uses the concept of topics and modules which enable the full functionality with the SCORM structure. However, this functionality is only used in exceptional cases. Therefore, the details here do not cover topics and modules functionality but focus only on common functionality likely to be used by most system administrators.

Add a video activity

Add an external resource activity
1. Select Admin > Manage Training > Manage Learning Activities on the Navigation Bar to open the Manage Learning Activities page.
2. Select the Add new activity button.
3. Select the Add an External Resource icon.
4. Enter the URL for the video into the External Link field.
5. Select the Add button to add the link and open the Learning Activity Details page. Alternatively, select the Cancel button to return to the media type page.
The process to upload an activity is to upload the file and then populate the learning activity details through the Manage Learning Activity page.
You may decide to populate the Manage Learning page before adding the activity file (e.g. if you are setting up a programme and find it easier to do this before then going back and uploading all the activities). In this case, you can select the Skip Button to skip the Add step and move directly to the Manage Learning Activity page. You would then subsequently upload the activity.
6. Follow the steps as relevant (from step 5) of the Upload an e-learning activity Help Guide to complete the task.
Add a workshop activity
1. Select Admin > Manage Training > Manage Learning Activities on the Navigation Bar to open the Manage Learning Activities page.
2. Select the Add new activity button.
3. Select the Add a Workshop icon.
4. Enter any required information on the Details tab and select Next. This will create your workshop activity.
5. Enter any further details across the remaining activity tabs and select Save Activity.
6. Select Schedules > Add New Schedule to open the Add Schedule page.
1. Enter any required schedule information, venue details and notification triggers, and select Save Schedule. This will add the schedule to the course, make it visible to users and return you to the Manage Learning Activity page.

Add a workbook activity
1. Select Admin > Manage Training > Manage Learning Activities on the Navigation Bar to open the Manage Learning Activities page.
2. Select the Add new activity button.
3. Select the Add a Workbook icon.
4. There are two ways to add a workbook activity:
1) Upload a workbook file. This will SCORM-wrap the file, and output status and bookmarking data to the site
• Select the Upload button to upload the media. Alternatively, select the Cancel button to return to the media type page.
• Either drag and drop the media file into the ‘Drop files here’ area or select the Add file button to open the file browser to locate the file (find and insert the file in the usual way).

Add a pre-activity or post-activity assessment to a learning activity
Any activity can have either a pre-activity and/or a post-activity assessment associated to it. Rules can be set within the site to manage the order of the activities to ensure that an activity is only active after a pre-activity assessment is completed, and a post-activity assessment is only active after the activity is completed.

Both assessments behave as separate modules within your activity and will display as separate modules on the Learning Activity Details page. For example, an activity with both a pre-assessment and post-assessment will display three modules on the page in sequential order.
A Pre/Post Summary Report can be run to view the results. This report will display the pre-assessment score, the activity result and the post-assessment score.
Pre-assessments and post-assessments can be set with a status of ‘Required’ so that the learning activity is only complete once the required pre-assessment, post-assessment and the learning activity is complete. For example, if a pre-assessment was marked with a status of ‘Required’, users would be locked from launching either the learning activity or post-assessment until the pre-assessment was completed. By completing the pre-assessment, the learning activity launch button would be unlocked on the Learning Activity Details page.

Follow the steps in the Create an assessment or survey Help Guide to see how to create an assessment in the site.
1. Select Admin > Manage Training > Manage Learning Activities on the Navigation Bar to open the Manage Learning Activities page.
2. Enter the name of the activity in the Search field or use the filters and select the Search button to search for the learning activity that a pre-activity or post-activity assessment needs to be added to. Select the Reset button to reset the search filters and perform a new search.
3. Select the Edit button for the learning activity to open the Manage Learning Activity page.
4. Select the Pre tab if a pre-activity assessment needs adding to the learning activity or the Post tab if a post-activity assessment needs adding. Both processes follow the same steps.
5. There are three ways to add an activity assessment:
1) Upload a new SCORM file
• Select the Upload Pre/Post-activity Assessment button to open the Upload SCORM window.
• Either drag and drop the media file into the ‘Drop files here’ area or select the Add file button to open the file browser to locate the file (find and insert the file in the usual way).
• The loading bar will display progress and illustrate the file size of the media.
• After the file has uploaded, select the Confirm button to add the media to the platform and open the Learning Activity Details page. Alternatively, select the Cancel button to cancel the changes.
2) Add a topic from the library, i.e. an assessment which already exists in the site
• Select the Add Topic from Library button to open Topic Library window.
• Type the name of the existing assessment in the search topics text field and select the Search button. Select the Reset button to clear the Search Topics text field.
• Select the Add button for the assessment that needs to be added.
• Select the OK button at the top of the page to return to the Manage Learning Activity page.
3) Create a new assessment topic
• Select the Create New Assessment Topic button to open the Survey Builder pop-up window.
• To create a survey, following the steps in the Create an assessment or survey Help Guide.
6. If the assessment is mandatory, select the Pre-/Post-Assessment Required checkbox.
Select the Save Activity button to publish the pre-/post-assessment. The assessment will then be visible within the Learning Activity Details page of your activity. Any associated ‘locked’ status of later modules within the activity will be automatically in place if the assessment was marked as mandatory.
Add materials to a learning activity
Additional materials and resources can be associated to a learning activity. Typically, these are Word documents, PowerPoint presentations and pdf files.
Materials are available from the Resources section of the Learning Activity Details page. If materials are designated as post-activity materials, then they are only available after the activity has been completed.
1. Select Admin > Manage Training > Manage Learning Activities on the Navigation Bar to open the Manage Learning Activities page.
2. Enter the name of the activity in the Search field or use the filters and select the Search button to search for the learning activity. Select the Reset button to reset the search filters and perform a new search.
3. Select the Edit button for the learning activity to open the Manage Learning Activity page.
4. Select the Materials tab.
5. There are two sections – one with a folder called Delegate Activity Material and one with a folder called Post-activity Materials. Both operate in the same way.
6. Select the Upload button in the relevant area to start uploading files.
7. Either drag and drop the media file into the ‘Drop files here’ area or select the Add file button to open the file browser to locate the file (find and insert the file in the usual way). The loading bar will display progress and illustrate the file size of the media.
8. After the file has uploaded, select the Confirm button to add the media to the platform and open the Learning Activity Details page. Alternatively, select the Cancel button to cancel the changes. The file has now been added to the relevant folder.
9. Select the Save Activity button.
10. Other actions available through the Materials tab are:
• Download a file: Selecting a file and then selecting the Download File button downloads the file.
• Delete: Selecting a file and then selecting the Delete button removes the file from the activity.
• Add folder: Typing a name in the Add Folder field and selecting the Add Folder button creates a new folder in the relevant structure.
• Make Available: Selecting the checkbox will make the uploaded documents visible in the Resources section of the Learning Activity Details page. Not check selecting this will mean the documents are not shown.
11. Select the Save Activity button to save any further changes.
Restrict a learning activity to a group of users
Learning activity restrictions are applied using the organisational structure filters. They limit the visibility of the activity to those within the relevant business area. Users who do not have access will not be able to search for or launch the activity in either the Quick Search or Learning Library functions.
If no restriction is added, all users of the platform will be able to access the learning activity.
1. Select Admin > Manage Training > Manage Learning Activities on the Navigation Bar to open the Manage Learning Activities page.
2. Enter the name of the activity in the Search field or use the filters and select the Search button to search for the learning activity. Select the Reset button to reset the search filters and perform a new search.
3. Select the Edit button for the learning activity to open the Manage Learning Activity page.
4. Select the Restrictions tab.
5. Select the Add button to display the locations the learning activity can be restricted to.
6. From the Activity Locations (the structure of the site), select the locations and/or roles that can access to the learning activity.
This means that only users in these locations or roles can locate and access the learning activity through the search function or learning library, i.e. it is restricted to them. The activity will not appear to any other users.
7. Selecting the Enable location specific details checkbox if you require the location details to appear in the Activity Details Content section for users who can access the activity.
8. Once all of the relevant locations have been selected, select the OK button.
9. Select the Save Activity button to confirm the changes.
10. Select the Edit button if changes are needed or select the Delete button to remove the restriction.
Assign a learning activity to a group of users
Learning activity can be assigned using the organisational structure filters. Activities can be assigned to specific roles and/or groups of users.
Assigned activities appear to the user under Learning > Relevant Learning on the Navigation Bar, and as a filter option within the Learning Library. This allows a user to quickly search for assigned content.
1. Select Admin > Manage Training > Manage Learning Activities on the Navigation Bar to open the Manage Learning Activities page.
2. Enter the name of the activity in the Search field or use the filters and select the Search button to search for the learning activity. Select the Reset button to reset the search filters and perform a new search.
3. Select the Edit button for the learning activity to open the Manage Learning Activity page.
4. Select the Assignment tab.
5. Select the Add button to display the locations the learning activity can be restricted to.
6. In the Activity Assignment section (the structure of the site), select the locations and/or roles that should be assigned the learning activity.
This means that all users can access the activity, but only assigned users will be able to access the activity through the Learning assignments in the Learning Library.
7. Once all of the relevant locations have been selected, select the OK button.
8. Select the Save Activity button to confirm the changes.
9. Select the Edit button if changes are needed or select the Delete button to remove the relevant learning assignment.
View and delete feedback from a learning activity
If the site has the feature active, learners can assign a rating to an activity and add comments. This feedback can be viewed and deleted if required (if it does not comply with the terms of use of for your site).
1. Select Admin > Manage Training > Manage Learning Activities on the Navigation Bar to open the Manage Learning Activities page.
2. Enter the name of the activity in the Search field or use the filters and select the Search button to search for the learning activity. Select the Reset button to reset the search filters and perform a new search.
3. Select the Edit button for the learning activity to open the Manage Learning Activity page.
4. Select the Feedback tab.
5. Select the Delete button to remove the feedback.
