Step-by-step guide
This guide provides an overview of the Reports area and shows you how to run a report.

Overview
Reports are accessed through Reports > Reports
Reports provides access to a range of generic reports which provide access to a defined range of data held in the site. They can be set up to show a wide-range of filtered data, depending on the report type. Results appear on the site screen and can be exported as a Microsoft Excel spreadsheet.
As well as running a report immediately, they can be scheduled to run at a specified point in the future and emailed to a recipient outside of the site.
Standard report types
The following report types are available by default in all sites:
Some sites will have more or less reports available depending on the specific modules included:
Activity Results Detail |
Shows information about activities run in the site.It also provides drilldown selections for more detailed information. |
Activity Status List |
Shows a summary of the activity statuses and the number of users within each status. |
Activity Status List Report by Type |
Identical to the Activity Status List report but also shows the activity type. |
Answer Summary |
Provides a count of the number of users who selected each possible answer to their respective questions within an assessment, survey, or e-learning activity. An activity must be selected to run this report. |
Audit |
Shows an audit of activity on the site. A range of audit types is available, e.g. bookings cancelled, training record updates and user detail changes. The report includes an audit date, details of the change and the credentials of the user actioning the change. |
Compliance Training |
Shows records for activities marked as Compliance, i.e. they include personally identifiable information for anonymised or deleted users. |
Detailed Answer |
Shows the answers that individual users gave in an assessment, survey, or e-learning activity. Details of the selected answer, result and correct answer are displayed. Answer details from multiple assessment attempts are also provided. An activity must be selected to run this report. |
Feedback |
Shows the comments, ratings, and dates users have given as feedback on activity. User details are also displayed. |
Future Bookings |
Shows the booking statuses for users against each activity within the selected date range. Additional requirement details are also displayed. |
Learning Progress |
Provides an overall completion status against the chosen Journey or Development Plans for returned users. A breakdown of individual activity statuses within a plan can be found in the Training Records Report. |
Manage Organisation Audit |
Shows an audit trail of changes made to the site organisation structures using the Manage Organisation interface. Details of the change, as well as a date timestamp and credentials of the Admin who actioned the change are displayed. |
On the Job Training Result |
Shows training results for On the Job type activities. |
Other Development |
Shows a user’s ‘Other Development’ or ‘Professional Qualifications’ that have been added through Training History.Details of the development type, activity, result, and result date are displayed. |
Pending Users Purge |
Shows a list of all users who have the user status ‘Scheduled for Purge’.The user’s name, personal ID, purge type and purge date are displayed. |
Pre/Post Summary |
Shows a user’s pre or post assessment score, result and result date for an assessment activity, as well as providing a graph view of the average pre and post-scores for the activity against the total user network. |
Session Duration |
Shows the average and total time (in minutes) that each user has spent in the site. If a user does not logout they will be automatically logged out once the inactivity threshold has been met. This figure will then be used as the duration of their last session. |
Staff List |
Shows details such as job title, personal ID, user status, start and leaving date and email for a user. |
Staffing Levels |
Shows staff level changes within the selected timeframe. Drilldown options allow you to filter through your organisation. A count of active and inactive users, leavers, and new starters will be shown alongside a percentage value of staff turnover rates and population growth. |
TNA |
Provides the score a user has achieved for each scoreable activity hosted within a Development Plan or Journey. Non-scoreable activities are returned with a blank value. |
Traffic Flow |
Shows a count of users who have accessed each page of the site. The page URL is displayed next to a count total and a percentage value out of 100% of the user network. |
Training Records |
Shows individual user statuses and result dates for each activity hosted within a Development Plan or Journey. |
Withheld Consent |
Shows users who have withheld their consent (in relation to data) and can not therefore access the site. |
Report types for sites with the Classroom module activated
Activity Waiting |
Lists users that have requested availability for an activity and the date that each request was made. |
Attendance Summary |
Provides a summary of attendance for a selected classroom activity. The summary includes a count of delegates, absentees, and cancellations against the maximum number of spaces within the classroom activity. |
Booking |
Shows a summary of bookings for available classroom activities. It includes a count of delegates, absentees, and cancellations against the maximum number of spaces within the classroom activity. A drilldown option allows you to view individual user details, alongside their current booking status. |
Run a report
- Select Reports > Reports
- Select the relevant report from the Report Type dropdown menu
- Select the relevant filters to refine your report
The following filters can be used to refine the search:
Filters button
This shows or hides the filter values which enable the search to be refined. There are options for various groups in the site structure or staff type.
Date Filters
The date filters allow the search to focus on a specific timeframe. This can be:
- The same day (Today).
- The previous week, month or year (Week, Month, Year).
- For the entire lifespan of the site (All).
- For custom dates using the calendar picker (From:To).
Primary Only
Primary only applies to any index level that is a multi-indexed option; for example, Job Role. By selecting Primary only when looking to run a report by job role, the results will be filtered down to where the selected role value is the primary role of that user. If the selected role value is a secondary job role in a user’s profile, then they will not be returned in the report.
- Select the Reset button to clear your filters, select the Schedule button to schedule the report or select the Go button to run the report
The report displays on the screen with a horizontal scrollbar if required. It can be navigated as follows:Show Results
The number of results displaying on the screen can be set to 10; 20; 30; 40 or 50.
Go To Page
Navigates directly to a stated page.
Current Page
Signifies the current page being viewed.
Back/Fast Back
Moves back one page or fast back to the first page.
Forward/Fast Forward
Moves forward one page or fast forward to the final page.
- Select the Output to Excel button to export the report into an Excel spreadsheet
